Show Choice Procedure

This page is intended to give an overview of the way in which the Committee of 2011-2012 have decided to choose our shows for the year. In particular, in the interests of fairness, it highlights all opportunities the membership will have to let their voice be heard should they wish to do so. Jump to Procedure

Procedure
Similarly to last year, the Committee have decided on a two-meeting procedure with a 'consultation period'. This is outlined below:

Meeting One - Shortlist Meeting

1. Open Suggestions
The Committee meeting on Friday 20th May 2011, 1pm, QMU, will be an open meeting which any Society member is free to attend. Names of shows will be suggested by all present and added to two longlists, one for the Weekend Show and one for the Main Show. If you cannot make this meeting and yet would like to suggest a show, please email your suggestion to secretary@ceciliansociety.co.uk

2. Reduction to Shortlist
Discussion will take place, with the aim of finding those shows which fit the criteria we are looking for. Everyone is free to reasonably contribute to this discussion, although if not enough information can be provided on a show, this will be considered an acceptable reason to remove it from the list. If it is felt that the list needs to be reduced further, some further comparative discussion on the remaining shows will take place.
Once the discussion is complete, the remaining shows will be deemed to form a shortlist.

'Consultation Period'
3. This shortlist will be circulated around the Society by email, posts on the forum, etc., and opinions invited by email to secretary@ceciliansociety.co.uk, or verbally. Note that the circulated shortlist will not denote which shows are being considered for Weekend and Main Show; it will be up to individual Society members to provide their opinions on shows' suitability for each if they feel this is necessary, just as it will be up to the Committee to decide what shows will actually be considered for each.
During this time the Company Manager and Committee will be collating perusal material for each of the shows on the shortlists, which will be available for consultation by anyone at the second meeting. There is a wealth of information available on the Internet, though, and this will probably suffice for most purposes.
This stage will last probably a week or two, at the end of which the show choice meeting will be held.

Meeting Two - Show Choice Meeting
4. Show Champions
If any members of the Society feel strongly enough about a show that they want to do more than simply email their opinion, they are invited to attend the first section of the show choice meeting, and champion their show to the Committee. This may concentrate solely on why their show fits the criteria and would be good for the Society, or may compare it to other shows. This also does not have to be extensive; indeed, more than a few minutes is too long.
This stage will be organised by show, hence all members who wish to champion a particular show will be asked to speak about it at the same time. This does not necessarily mean that they need to collaborate beforehand, simply that there is not time to have people repeat the same points as their fellow champions.
Note that this stage is more of a presentation than a discussion, hence any non-Committee member who wishes to remain while others champion their shows may not make comments while they are doing so; this may be done in stage 5.

5. Open Discussion
Anyone championing a show in stage 4 will be invited to participate in open discussion with the rest of the champions and the Committee. Any other Society members who wish to comparatively discuss the shows on the shortlist may do so here, even if they didn't feel strongly enough about a particular show to champion it in stage 4. This could be particularly useful to hear opinions of shows that we have done in the past.

6. Closed Decision
After a reasonable length of time, all non-Committee members will be asked to leave the room while the Committee discusses any relevant items and makes a decision, making a first choice and a backup choice for each show.


Note that the above procedure is of course subject to reasonable change depending on requirements - this particularly refers to the length of the 'consultation period', as this depends heavily on the acquisition of perusal material.
